I wanted to express appreciation to you and your staff for providing the Cancer Data Registry of Idaho (CDRI) with an excellent solution to our imaging needs. The process was very easy and we are very pleased with the end product. The project did not take long, the software is easy to use, and the information is quickly retrievable.

Although we were first thinking of microfilming our records, I'm glad we decided on imaging. The records are easier to find, we don't need a microfilm reader, and we can print out the image if necessary. STATE OF MONTANA - DEPT. OF TRANSPORTATION MICROFILM SCANNING CONVERSION PROJECT

Project Status:

- Conversion of 2.8 million documents
- 3 different mirofiche jackets types had been used
- Documents date from the 1920's to present.

Integra was responsive to our needs and designed a scanning program to meet those needs. They followed MDT directory structures, number and parcel tracking system, kept an account log of all activity for spontaneous responses, provided interim material upon demand and have always kept communications open when questions or the need arose.

The quality assurance has continued throughout the project, Integra has consistently worked with quality control, image sizes, de-skewing and de-speckling, image integrity and order. The turn around time has always been addressed in a timely fashion and they have kept the project on schedule. Problems with file naming errors, omissions, or CD-ROM information discrepancies have always been handled on a daily basis, with shipping and delivery always prompt.

CLACKAMAS COUNTY, STATE OF OREGON

Like many public entities, Clackamas County (Oregon) has more than it’s fair share of records issues: too many copies of documents and files produced and maintained, hard to find original documents, and records kept past legal requirements, “just because”. It was recognized quite a few years ago that something needed to be done about it, and document imaging was certainly seen as part of the solution. Unfortunately, no unified effort was applied to imaging and that left individual departments purchasing off-the-shelf scanning software and hardware that was not network friendly or supportable. What scanning did occur was not productive and those county departments involved generally abandoned their efforts and came away with a bad taste in their mouth for imaging.

With the advent of a new county CAO that truly saw the vision of where our county could go with document imaging, an “enterprise-wide” approach became the prime directive. Enter Integra. Integra came into the picture several years ago and helped the county head down the right path with good strategies and application development, as well as interfacing with our information services staff and many other layers of county staff. Mind you, moving the county forward with imaging hasn’t been easy; getting county employees out of pre-existing mindsets and understanding the big picture of what the document imaging environment can do for them would be a daunting task for any vendor, but as we have seen, Integra has exceeded all expectations. Having been a vendor/solutions provider myself at one point in my life, (and saw many “shady” deals), I was initially suspicious of Integra. It was a refreshing surprise to me that Integra will not sell something that the client does not need. Essentially, if “the shoe does not fit, then let’s no commit”. You might be hard pressed to find that with most vendors these days.

Where are we now and where are we going? Surprises abound. A year ago I would never have believed that our very paper intensive personnel department would be scanning employee records and benefit files, let alone be a model for other county departments to follow. Although this is still in the early stages, the personnel project is one that will continue to grow and have very positive ripple effects through the organization. Likewise, scanning applications undertaken in our district attorney’s office and sheriff department will continue to be refined and added to, making important information readily available in s secure fashion. Clackamas County is currently in the process of consolidation many departments into one facility, with the purposeful intent of less paper storage. With physical change, comes change of practice. The vision is for many of these departments to utilize document imaging and electronic forms to replace miles of file cabinets and expensive floor space, and like the old adage state, “work smarter, not harder”.

We feel the sky’s the limit with imaging in our organization and we are certainly glad to have Integra helping us make positive change.
